Privacy notice for UAL Travel Bursary application form
Why we collect your data
We collect the information on this form in order to assess your eligibility for the bursary and book and purchase the appropriate mainline train or plane travel within the UK on your behalf. We will check this information against information we already hold on you.
Bursary funds will be allocated on a first-come, first-served basis until the fund has been fully spent. We cannot guarantee that all UAL Travel Bursary applications submitted by an applicant will be granted.
What we do with your data
We collect and process your UAL Travel Bursary application using UAL managed platform Gravity forms. Your information will be accessible by UAL staff in order for them to process your application. Your information will then be transferred to UAL’s supplier Key Travel to process your booking and to purchase your mainline train and/or plane tickets.
Information relating to your travel arrangements will be stored in both Gravity forms and Key Travel only up until the date and time of the event you requested the bursary for has passed. Details relating to your application and payments made will be retained by UAL for 6 years after the current financial year. Information relating to unsuccessful applications will be kept for 1 year after the current year.
We process your information under GDPR Article 6(1)(b) Performance of a Contract (i.e. the terms and conditions) and will delete it 6 years after end of contract. Health information given as part of accessibility requirements or to meet eligibility requirements is processed under GDPR Article 9(2)(a) Explicit Consent.
You have the right to withdraw your consent at any time by contacting travelbursaryfund@arts.ac.uk, in which case we will delete this data.
