Introduction

Please only complete this form if you would like to register with the Disability Service and:

  • have accepted an offer to study at the University of the Arts London (UAL) or
  • you are already a student at UAL.

UAL's Disability Service works on the 'Social Model' of Disability. Watch the short film on the Social Model of Disability on our website.

The Disability Service at UAL provides confidential advice and support to UAL Students. This form requests the information we need to fulfill our contract with you. The information you give helps the Disability Service to:

  • set up support to meet your disability-related study needs
  • meet the University's obligations to you under the Equality Act (2010).

Privacy Notice

How we use and store the information you give us 

Processing this information is necessary for the University to fulfil its obligations to you under the Equality Act (2010). We will store this information confidentially within the Disability Service database. This is separate from your student record.

We will not share any information that you provide with anyone outside the Disability Service without asking you for explicit permission first, unless the situation falls within the exceptions shown in the Confidentiality statement section (next page).

We will retain records of your interactions with the Disability Service for 6 years after you leave the University.

Legal basis 

Basis for processing your data under Articles of the UK General Data Protection Regulations: 

  • 6(1)(a) consent of the data subject 
  • 6(1)(b) - Processing is necessary for the performance of a contract with the data subject or to take steps to enter into a contract, in all cases. 
  • 6(1)(c) - Processing is necessary for compliance with a legal obligation, 
  • 6(1)(d) the ‘vital interests’ basis where there is an immediate threat to life 
  • 9(2)(a) explicit consent of the data subject, for special category data (health, disability)

Basis under Schedules of the Data Protection Act 2018: 
‘Counselling’, ‘safeguarding’ and ‘preventing or detecting unlawful acts’ under the ‘substantial public interest’ basis.

Where your information is stored 

  • UAL Student Services’ casework system
  • UAL systems for online forms, voicemail, email, and calendars.
  • No storage or transfer outside the European Economic Area (EEA).

Sharing information

Sharing within Student Services on a need-to-know basis as detailed in the Confidentiality and Information Sharing Policy (PDF 92KB).

No other sharing, unless you give explicit consent or the situation falls within the exceptions shown in the Confidentiality statement section (next page).

Data retention

Data will be deleted 7 years after you complete your studies.

Automated decisions

There will be no automated decision making in the processing of this form.

All forms are reviewed by a person who will be replying or putting in place support for you.

The course and personal information you provide may be automatically updated as our casework system checks the student record for any changes related to your course or personal details; for example, when you change your address or when you progress from one academic year to another.

Confidentiality Policy

The Disability Service is part of Student Services. It operates according to the Student Services Confidentiality and Information Sharing Policy (PDF 166KB). Please read it to find out more about our approach to storing and sharing information.

We usually ask students to give their explicit permission to share information before we share it with others. We share information on a ‘need to know’ basis. This means we share the minimum information needed for another team, staff member or organisation to support the student.

Student Services may occasionally need to share information without a student’s permission. This might happen in an emergency or if the student or others are at risk of serious, lasting harm. The Dean of Students, who oversees Student Services, decides when to share information without a student’s permission.

The Disability Service may use the information that you provide to send you information that may be useful to your circumstances, later in your studies.

  • Alternative assessments, e.g: arrangements to do a presentation instead of an essay.

  • Human Support outside of classes, e.g: a Mentor or 1 to 1 Specialist Study Skills Support.
  • Assistive Software. This could be a screen reader or mind mapping programme (e.g., JAWS, ClaroRead, Dragon).
  • Taxi allowance.
  • Equipment. This could be a specialist chair or desk; access to a fridge to store medicine.

University accommodation

This section is about your University accommodation and any disability-related access needs you may have.

When we say accommodation, we mean where youʼll live while studying at UAL e.g. Halls of Residence or other student housing.

English language requirements

If you are a UK-based student, you will not need an English Language test.

International students: UK visas and immigration

UAL has a large international community. The Disability Service can provide support to overseas students. The Student Advice Service can provide more specialist advice about immigration and visas.

You may need to take a Secure English Language Test (SELT) to meet UK Visas and Immigration (UKVI) requirements before you can start your course. If you need to do this, it will be made clear in your offer. Visit UAL's webpages for further information about English language tests.

Please note: The Disability service cannot alter the language requirements for your course.

If you do need more support with immigration and visas, then please contact the Student Advice Service. They can provide more specialist advice about Immigration and visas.

If you need adjustments for your language test

If you need adjustments for the test, for example, additional time, you should also contact your test centre as early as possible. Your test centre may ask for evidence of your impairment or Specific Learning Difference. It can take some time to put adjustments in place.

Consent to Share

By completing this form, you've already given us consent to store your information and share information with other Student Services departments.

We need your permission to share information about you with other groups outside of Student Services. This is called "Consenting to Share".

We ask for your consent so we can arrange the support you need. We only share information with the people who need it to provide that support. This is usually about practical things, not your diagnosis.

We won't pass any information on until you have spoken to a Disability Adviser.

Other groups we may need to share information with are:

  • Your course team, e.g: teaching staff, technicians and your course administration team.
  • External agencies responsible for your support, e.g: a provider of your equipment or support work, a diagnosing or treating professional or a funding body.
  • The Student records system. This is normally only for reporting. The information is usually anonymised* and it also helps determine what resources and funding the Disability Service needs. 

*Anonymised means removing identifying information from something, such as computer data, so that the original source (i.e. you) cannot be known.

The information we share will include the descriptions you chose earlier in the last question under Section 4: Your details.

Withdrawing consent

You can withdraw consent for us to store specific medical or disability information we hold at any time by emailing disability@arts.ac.uk.
